Building a Membership Website on WordPress: What Breaks at Scale
Membership sites work beautifully at 200 members and start creaking at 2,000. Here's what breaks, why, and what to do before it does.
Corporate team accounts, seat management, bulk enrollment, permissions and progress reporting — built around the membership or LMS setup you already run.
Seats purchased in bulk and assigned as staff join or leave.
Their admin adds people, reassigns seats and pulls reports without contacting you.
Progress and completion reporting for the person who approved the budget.
The requests that consumed your week become self-service.
One organisation, many users, with a clear owner.
Buy in bulk, assign, reclaim and reassign as staff change.
Invite a whole department at once without creating accounts by hand.
Admin, manager and member roles with sensible boundaries.
Participation and completion, pre-computed so reports don't time out.
Corporate customers manage their own teams.
We map how you actually sell — seat model, pricing tiers, who administers what, and the edge cases that turn into tickets later.
We build around your existing setup rather than replacing your LMS or membership plugin.
We add the buyer's view — the dashboard and reporting the person paying actually needs.
You test it with a real customer scenario before we call it finished.
Most WordPress LMS plugins model a single learner well and an organisation badly. You can approximate team accounts by stacking a group plugin, a reporting plugin and a spreadsheet, but the edge cases — a staff member leaving mid-course, two organisations sharing a consultant, an admin who deletes themselves — are exactly where stacked plugins break. Building the group entity properly costs less than supporting the workaround.
Usually not. We build around LearnDash, LifterLMS, MemberPress and similar rather than replacing them.
Not yet. This is currently a done-for-you build, and we'd rather say so than sell you something that doesn't exist.
Custom quote, because the seat model and reporting requirements differ for every business. We scope it before quoting.
Yes — that's part of the build, and we look at your real data before estimating it.
Don't like what we build?
That's okay.
If you decide it's not right for your website, we'll remove our changes and restore your previous setup at no cost.
You don't need to pay before we start.
We'll implement and show you the completed work first. You only pay once you're happy with the result.
